Cancellation Policy: Trade Shows

The Agri-Food Export Group Québec–Canada is a non-profit organization (NPO) which manages export assistance programs on behalf of the Québec Ministère de l’Agriculture, des Pêcheries et de l’Alimentation and Agriculture and Agri-Food Canada..

As a manager for these government programs, the Group has established a general policy to govern participation in trade shows. Here are the details:

Once a representative of an enterprise signs a trade show participation form, the enterprise has entered into a contract with the Group.

  1. Within five days of registration, the enterprise must remit 50% of the participation fees. This may be paid by cheque or credit card to the Group’s Accounting department, which may be reached at 450- 461-6266, extension 207.
  2. The remaining 50% of the trade show fees are due 60 days prior to the event.
  3. If the enterprise does not comply with this requirement, the Group reserves the right to cancel its participation in the event.
  4. In the event that the enterprise cancels participation:

• If the enterprise or the Group finds a replacement, the enterprise will be reimbursed 100% of the fees, less administration costs of $200.00, after the replacement pays the amount due.
• If neither the enterprise nor the Group finds a replacement, the enterprise is responsible for the total amount agreed to in the contract.
• All cancellation requests must be made in writing, and sent to the person in charge of the trade show. His or her name will appear on the participation form.
